Overview

The Office Assistant plays a vital role in maintaining the efficient functioning of administrative operations within the organization. They are responsible for greeting clients, managing appointments, processing payments, and ensuring the smooth flow of office procedures. This position requires attention to detail, strong organizational skills, and the ability to handle multiple tasks simultaneously.

Responsibilities

  • Greet clients, answer phones, and schedule appointments.
  • Record and process payments using the electronic billing system.
  • Assist with setting up and maintaining telehealth appointments.
  • Manage incoming and outgoing mail and maintain office supplies.
  • Conduct client interviews to collect demographic and financial information.
  • Assist with Medicaid applications and other paperwork as needed.
  • Copy, scan, and attach documents to client records in the electronic health record system.
  • Update client financial information and verify insurance coverage.
  • Follow up with clients to obtain missing information for billing purposes.
  • Maintain organized paper and electronic filing systems.
  • Generate reports and assist with quality improvement activities.
  • Attend training sessions and meetings to stay informed about organizational policies and procedures.
  • Operate office equipment such as copiers, scanners, and fax machines.
  • Collaborate with colleagues to ensure efficient office operations.
  • Uphold standards for customer service excellence and professionalism.
  • Maintain confidentiality and security of sensitive information.
  • Perform other duties as assigned by supervisor.

Qualifications

Candidates should possess a high school diploma or GED and have at least 1 year of experience using electronic health records or billing systems. Proficiency in standard office procedures and equipment operation is essential, including filing, word processing, and basic office machines. Strong communication skills, both verbal and written, are necessary for interacting with clients and colleagues. Candidates must demonstrate discretion in handling confidential information and be able to manage tasks effectively in a fast-paced environment.

The anticipated starting pay for new hires for this position is between $18.00 - $19.00 an hour. There are several factors taken into consideration in determining base pay, including but not limited to: job-related qualifications, skills, education, experience, local market conditions, and internal equity.
